Terms of Service

These Terms of Service ("Terms") are a legal agreement between you and Gambo Labs, LLC ("Gambo Labs," "we," "us," or "our"), governing your use of CrewDoc (the "App") and the CrewDoc marketing website (together, the "Service"). By downloading, installing, or using CrewDoc, you agree to these Terms. If you don't agree, don't use the Service.

1. What CrewDoc is

CrewDoc is a documentation tool for service contractors. It helps you capture before/after job photos, checklists, and voice notes, and generate PDF reports from that material. CrewDoc is a record-keeping and reporting tool — it does not perform, supervise, inspect, or guarantee the underlying work described in any job, photo, or report.

2. Eligibility and accounts

CrewDoc is intended for business use by contractors and tradespeople. You must be at least 18 years old and able to form a binding contract to use CrewDoc. The App's core features work without an account; you may optionally create a CrewDoc account using Sign in with Apple, which is required to back up your photos to CrewDoc, to subscribe to CrewDoc Pro, and to sync your plan across devices. Without an account, job content stays on your device and syncs only through your own Apple ID / iCloud account. You're responsible for maintaining the security of your Apple ID and CrewDoc account and for all activity that happens under them.

3. Subscription, billing, and cancellation

• CrewDoc offers a paid subscription (monthly or annual) that unlocks full functionality for your business account, including use by up to three active account members at one flat price, with no per-member charge. A CrewDoc account (Sign in with Apple) is required to subscribe. If a subscription lapses, the account returns to the Free plan's limits, including its single-member limit — additional members lose access until the account is upgraded again, and nothing they created is deleted.
• Subscriptions are sold, billed, and managed entirely through Apple's App Store, and are subject to Apple's own terms (see apple.com/legal/internet-services/itunes/).
• Payment is charged to your Apple ID account at confirmation of purchase. Subscriptions automatically renew unless auto-renew is turned off at least 24 hours before the end of the current period.
• You can manage or cancel your subscription any time in iOS Settings → [your name] → Subscriptions. Gambo Labs cannot process cancellations or refunds directly — those go through Apple, consistent with the App Store's standard refund policies.
• We may change subscription pricing or features going forward; if we do, we'll give existing subscribers reasonable advance notice before any change takes effect on their next renewal.

4. Your content

"Your Content" means the jobs, photos, checklists, voice recordings, transcripts, notes, and reports you create in CrewDoc.

• You own Your Content. We claim no ownership over it. Creating a CrewDoc account doesn't change that, and we don't use Your Content to train models, to advertise, or for any purpose other than operating the Service for you.
• Where it's stored. Your Content is always stored locally on your device. If you're signed into a CrewDoc account, photos and job records are also uploaded to storage operated by Gambo Labs (hosted for us by Supabase, Inc. on infrastructure in the United States) so they survive a lost or replaced device and are available to the other members of your account. A job record is the job's number, customer name, service address, contact details, notes, status, and dates. Checklists, voice recordings, transcripts, and generated reports are not uploaded; those sync only through your own private CloudKit database tied to your Apple ID. If you're not signed in, nothing is uploaded to us at all.
• Shared accounts. Everything in an account is visible to every active member of it. You are responsible for who you add to your account and for what they do with the customer information they can see there. Joining another account moves you onto it and off your own; a person may belong to one account at a time. Removing a member ends their access but does not remove the work they contributed, which remains with the account.
• You grant us a narrow licence, and only for this. By uploading photos and job records you grant Gambo Labs a limited, non-exclusive, worldwide licence to store, transmit, and display them solely to provide the Service to you and your account members — that is, to back them up, sync them across your crew, and render them in your own reports. This licence exists only so we can lawfully hold the files you asked us to hold, ends when you delete the content or your account, and grants us no right to use Your Content for anything else.
• Photo retention. On the Free plan, full-resolution originals are retained for the period stated in the App (30 days at the time of writing) and thumbnails are retained while your account remains active. On CrewDoc Pro, originals are retained while your subscription is active. If your subscription lapses, Free-plan retention applies going forward. We may change these periods with reasonable advance notice.
• Deletion. Deleting a photo or a job in the App deletes our copy; a deletion marker is retained for up to 90 days so the deletion reaches every device on the account. Deleting your account deletes every photo and job record we hold for it. None of this deletes the copies on your own device.
• Your customers' information. The job records you upload contain third parties' personal information. You represent that you have the right to collect and share it as you do, and you remain responsible for meeting any obligations you owe those customers. We process it on your instructions in order to operate the Service.
• You're solely responsible for Your Content: for having the rights to capture and use any photos, recordings, or customer information you put into the App, and for complying with any applicable laws (including consent requirements for recording conversations — see Section 5 below).
• Backup is a convenience, not a guarantee. We take reasonable care with what you upload, but the Service is provided "as is" (see Section 9) and you should not treat CrewDoc as your only copy of anything you can't afford to lose. Content we don't hold — checklists, recordings, transcripts, reports, and anything created while signed out — we cannot recover for you at all; keeping working iCloud sync and adequate iCloud storage remains your responsibility.

5. Voice recording and consent

CrewDoc lets you record conversations with clients on job sites, transcribe them on-device, and generate summaries. You are solely responsible for complying with all applicable recording-consent laws in your jurisdiction (including one-party- and two-party/all-party-consent state laws in the U.S.) before recording any conversation. Gambo Labs is not responsible for your compliance with these laws, and nothing in the App constitutes legal advice about them.

6. Acceptable use

You agree not to:

• Use CrewDoc for any unlawful purpose, or to create, store, or transmit content that is fraudulent, defamatory, or infringes another person's rights;
• Attempt to reverse-engineer, decompile, or circumvent CrewDoc's subscription, plan-limit, or member-limit enforcement;
• Interfere with or disrupt the App, Apple's services it relies on, or attempt to access another user's data;
• Use CrewDoc-generated reports to misrepresent work that was not actually performed.

We may suspend or terminate your access to CrewDoc if you violate these Terms.

7. Reports and third parties

Reports generated by CrewDoc are provided as a convenience and reflect only the information and photos you input. You are responsible for the accuracy of any report you send to a customer or third party. Gambo Labs is not a party to, and has no responsibility for, any dispute, contract, or transaction between you and your customers.

8. Disclaimers

CREWDOC IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. We don't guarantee the App will be uninterrupted, error-free, or that generated reports, transcriptions, or AI-generated summaries will be complete or accurate — on-device transcription and summarization are automated and may contain errors; always review generated content before relying on it or sending it to a customer. CrewDoc does not verify, inspect, or certify the quality of any contractor's work; it only helps you document it.

9. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, GAMBO LABS, LLC AND ITS OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITY, ARISING OUT OF OR RELATED TO YOUR USE OF CREWDOC — INCLUDING LOSS OF JOB DATA, PHOTOS, RECORDINGS, OR REPORTS — EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID US FOR THE SUBSCRIPTION IN THE 12 MONTHS BEFORE THE CLAIM AROSE.

Some jurisdictions don't allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you.

10. Indemnification

You agree to indemnify and hold Gambo Labs harmless from any claims, damages, or expenses (including reasonable attorneys' fees) arising from your use of CrewDoc, Your Content, your violation of these Terms, or your violation of any law or third-party right (including a customer's or client's rights).

11. Termination

You may stop using CrewDoc and cancel your subscription at any time as described in Section 3. We may suspend or terminate your access to the Service if you materially violate these Terms. Sections 4 (as to data already created), 6 through 10, and 12 survive termination.

12. Governing law and disputes

These Terms are governed by the laws of the State of Delaware, without regard to its conflict-of-laws principles, unless the laws of your home jurisdiction require otherwise for consumer protection purposes. Any dispute arising from these Terms or the Service will be resolved in the state or federal courts located in Delaware, and you consent to personal jurisdiction there, except where applicable law requires otherwise.

13. Changes to these Terms

We may update these Terms from time to time. We'll update the "Effective date" above and, for material changes, provide notice within the App or on the CrewDoc website. Continued use of CrewDoc after changes take effect means you accept the updated Terms.
